Every status explained
This page lists every status, state and badge you can meet in Stock Sync, with its exact label, its colour, what it means, what causes it and what to do. The colours follow one rule everywhere:
| Colour | Means |
|---|---|
| Green | All is well, nothing to do |
| Amber | Waiting or worth watching; usually it sorts itself out |
| Red | Stuck or refused: needs a person |
| Blue | In progress, or for information |
| Grey | Neutral information, neither good nor bad |
| Indigo | Orders only: on its way to the customer, in Odoo and not shipped yet (Imported) |
| Violet | Orders only: part of it shipped, the rest still on its way (Partly shipped) |
Statuses are small rounded labels with a coloured dot, for example a green In sync. The colour is never the only signal: the word is always there too.
Where the explanations are
You do not need this page open to read a status: the screens explain themselves.
- Hover over any status (on a list row, a side panel, a header) for what it means and what to do, in the words of this page.
- Every list has a Legend button at the top. It opens the colours, then every status of that page with its meaning and what to do. On the Offers page it also shows examples of the Stock column; on Orders, every reason an order needs attention with its fix; on Activity, the run results, the run types with when they run, and the outbox states.
- Every column header has an ⓘ that says what the column shows.
- Every button says what it does on hover; a button you cannot use stays greyed out and says why.
See Legends and tooltips in the tour.
Account status
One word answers the question "is this account sending?". It replaces the three badges (mode, state, health) the screens used to show side by side. It is shown:
- as the coloured status beside the account's name in its workspace header, and in the status banner under it, with the one action the account needs;
- in the Status column of the Accounts page and of the Accounts table on the Overview;
- as a tag beside the account in the sidebar, only when it is not Sending (PREVIEW, PAUSED or SUSPENDED); folded, as a corner dot on the account's badge;
- in Search or jump to (eMAG Romania · Sending) and in the tooltip of the account's badge.
| Word | Colour | What it means | What to do |
|---|---|---|---|
| Sending | Green | Live, active and healthy: stock changes go to the marketplace within seconds. | Nothing. |
| Preview | Amber | Everything is calculated as in Live, but nothing is sent. New accounts start here. The banner says what going Live would send: "Going Live would send [n] stock updates now." | Check the offers, then Go Live: Go from Preview to Live. |
| Paused | Amber | Nothing is imported, recalculated or sent. PIM changes still wait as Waiting to send. | Resume when ready: Pause and resume an account. |
| Suspended | Red | The marketplace refused the connection: all work stopped. | Fix the connection, then Recover: Bring back a suspended account. |
How the word is chosen. Each of these alone already stops sending, so the word names the one to deal with first: Suspended outranks Paused, which outranks Preview. An account that is suspended and paused reads Suspended; its banner adds "It is also paused: after recovering, press Resume." An account that is paused and in Preview reads Paused; its banner adds that after resuming nothing is sent until you go Live. Only an account that is Live, Active and Healthy reads Sending.
A Degraded account still sends, so it reads Sending; its status banner turns amber and adds "Degraded: [reason]" with a Recover button.
The three parts behind the word still exist and are described below: health, state and publish mode.
Account badge
Every account has a badge: a small rounded box with its initials in a colour of its own. It tells similar names apart at a glance ("eMAG Romania" and "eMAG Romania Wh 2") and appears wherever the account does: the sidebar, the lists, the filters, the feeds, the side panels and the account's header.
The initials come from the name:
| Name | Badge | Rule |
|---|---|---|
| eMAG Romania | ER | The first letters of the first and the last word |
| eMAG Romania Wh 2 | ER2 | A number at the end is kept (a word like Wh or Warehouse before it is dropped) |
| eMAG Romania Outlet | ERO | Where two accounts would get the same initials, one more word is used |
| (still taken) | ERA, ERB … | If even that clashes, the first free letter is added (never I or O, which read as 1 and 0) |
No two accounts have the same initials. Older accounts keep theirs; a newcomer adapts. In the pictures of this guide, eMAG RO already has ER (and eMAG RO Wh 2 has ER2); a new account named eMAG Romania would also make ER, and with only two words there is no longer form to fall back on, so the New account form shows ERA for it.
The colour comes from a palette of twelve (aubergine, teal, blue, violet, sky, olive, indigo, purple, slate, brown, stone, navy). It never uses red, amber or green, because those colours mean a status everywhere else. Within one marketplace no two accounts share a colour, and an account keeps its colour. In the pictures, for example, Fashion Days RO is teal (FR), Fashion Days BG blue (FB) and Fashion Days RO Wh 2 brown (FR2).
The status dot. Where space is short (the folded sidebar), a small dot on the badge's corner shows the account's status, only when it is not Sending: amber for Preview or Paused, red for Suspended. Hover over a badge for the account's name, marketplace and status.
Changing it. An operator can choose other initials (up to three letters or digits) and another colour in the account's Settings → Appearance. Leaving the initials empty, or choosing Automatic for the colour, goes back to the badge made from the name. See Account settings.
Account health
Shown as Health in the Connection card of the account's Summary (with the reason), in the account's status banner while it is Suspended or Degraded, and in the Legend of the Accounts page. It is one of the three parts of the account status word.
| Label | Colour | What it means | What causes it | What to do |
|---|---|---|---|---|
| Healthy | Green | The marketplace accepts the account's connection. | Normal state; also the result of a successful Recover. | Nothing. |
| Degraded | Amber | The account works but has a problem worth checking. | Nothing in the current version sets this automatically, so you should not normally see it. | Read the reason, then use Recover. |
| Suspended | Red | Stock Sync has stopped all work with the marketplace for this account. Nothing is imported or sent. | The marketplace refused the credentials (wrong API user or password), or does not let this API user, or our server's address, use its API, or the connection cannot be used: "The connection is incomplete; enter it in Edit connection" or "Stored credentials cannot be read with the configured key; re-enter them". A Recover that is refused also leaves the account suspended, with the new reason; a Recover while the marketplace cannot be reached changes nothing. | Read the reason. Fix the cause (usually in Settings → Connection), then Recover. Step by step: Bring back a suspended account. |

When an account is suspended, the reason is in its red status banner ("Suspended: [reason]. Nothing is imported or sent until you fix the connection and recover."), with Edit connection and Recover beside it, and in a red Needs your attention row on the Overview ("[account] is suspended"), which carries the same two buttons.
Health is separate from the account's state (Active or Paused) and its mode (Preview or Live). A suspended account can be Active and Live at the same time; it still sends nothing until it is healthy again. More in Account health and pausing.
Account state: Active or Paused
The state is part of the account status word: a paused account reads Paused (unless it is also suspended).
| Label | What it means | What causes it | What to do |
|---|---|---|---|
| Active | The account is switched on: offers are imported, recalculated and (in Live) sent. | Normal state; Resume. | Nothing. |
| Paused | No offer import or Recalculation runs, and nothing is sent for this account. Stock changes from PIM still update Stock to publish and wait as Waiting to send. | An operator clicked Pause. A few older accounts were also paused automatically, until someone entered their credentials. | When you are ready, Resume: the offers are imported again and the waiting stock is sent. See Pause and resume an account. |

Publish mode: Preview or Live
The mode is part of the account status word: an account in Preview reads Preview (unless it is also paused or suspended). The status banner of a sending account starts with Live:, of one in Preview with Preview:.
| Label | What it means | What causes it | What to do |
|---|---|---|---|
| Preview | Everything is calculated exactly as in Live, but nothing is sent to the marketplace. The status banner says "Going Live would send [n] stock updates now." | Every new account starts in Preview. An operator can switch back to Preview at any time (Back to Preview in the banner or the More menu). Saving a new API address in Settings → Connection also switches the account to Preview. | Check the offers, then go Live: Go from Preview to Live. |
| Live | Stock changes are sent to the marketplace. | An operator went Live (typing the account name to confirm). | Nothing. |
A Live account only sends when it is also Active and not Suspended. More in Preview and Live.
Offer status: one per row
Each row of the Offers list shows one status in its Status column, and so do the Offer page and its side panel (in a What this means box, with What to do under it). It is the offer's sync status (below), except for an offer that is Not linked or Orphaned: that link status says more, so it takes the sync status's place. A second, smaller line under the status appears when the marketplace says something that matters: ended, switched off, a validation reason, or that the lead-time rule makes it publish 0 (see What the marketplace says).
The Status filter chip lists all seven words, each with its count and its meaning. A link word and a sync word cannot be ticked together: ticking one kind clears the other. The quick views group them: Needs a fix (Failed, Rejected, Orphaned), Waiting (Waiting to send, Sent, awaiting confirmation), Not linked, and Not selling (linked, but not eligible, ended, switched off, or withheld by the marketplace's validation).
Offer link status
Whether the offer is matched to a PIM product. Not linked and Orphaned show as the row's status; a linked offer shows its sync status instead. Counts per account are on the account's Summary (Not linked, Orphaned) and in the Overview's Offer health.
| Label | Colour | What it means | What causes it | What to do |
|---|---|---|---|---|
| Linked | Green | The offer's id on the marketplace is a PIM product id, and that product exists in PIM. Stock Sync manages its stock. | The offer import or a PIM reading found the product. | Nothing. |
| Not linked | Amber | The offer's id is not a PIM product id (or no such product exists). Stock Sync never touches this offer's stock. | The offer was created on the marketplace with an id that is not a PIM product id, or the product is not in PIM yet. | If it should be synced, correct the offer on the marketplace (it links at the next offer import) or have the product created in PIM with that id (it links at the next PIM reading). See Matching offers to products. |
| Orphaned | Red | The offer was linked, but its PIM product has been removed. Stock Sync sets its stock to 0. | The nightly full PIM check found the product gone. | If the removal was a mistake, restore the product in PIM: the offer links again by itself. Otherwise end the offer on the marketplace. |
Offer sync status
Where a linked offer's stock stands. Counts per account are on the account's Summary and in the Overview's tiles and Offer health.
| Label | Colour | What it means | What causes it | What to do |
|---|---|---|---|---|
| In sync | Green | The marketplace shows the number Stock Sync wants. | The marketplace accepted the last update, or nothing needed sending. Not linked offers are always In sync underneath, because nothing is ever sent for them. | Nothing. |
| Waiting to send | Amber | A new number is waiting to be sent, or is being retried after a temporary error. | The stock to publish changed; the daily offer import found a different number on the marketplace; an operator asked for a resync; the marketplace no longer ends or refuses the offer. In Preview, or while the account is Paused or Suspended, offers stay here until the account can send. | Usually nothing: it is sent within seconds, or retried automatically (after 30 seconds, then 1, 2, 4 … up to 30 minutes). If it stays, check the account's status. |
| Sent, awaiting confirmation | Amber | The number was sent and the marketplace has not said yet whether it applied it. The offer says what was sent and when. | ABOUT YOU accepts a stock update first and answers a moment later (Stock Sync asks after ten seconds, then every ten seconds for a minute, then less often; see the schedule). eMAG and Fashion Days answer at once, so their offers never have this status. | Nothing: it becomes In sync when ABOUT YOU confirms, Rejected if it refuses. After 30 minutes without an answer it goes back to Waiting to send and is sent again. See ABOUT YOU: sent first, confirmed a moment later. |
| Rejected | Red | The marketplace refused the update for a business reason. Its message is in Last problem. | A campaign lock (the offer is in a promotion), offer not found on the marketplace, or a validation error. | Read Last problem. Campaign locks are retried by themselves every 6 hours for up to 14 days. Others wait until the stock changes again or an operator resyncs the offer after fixing the cause. See Find out why a stock number is wrong. |
| Failed | Red | Sending kept failing with temporary errors and Stock Sync gave up after 8 attempts (about an hour). | The marketplace was down, too slow, or kept answering with errors. | Once the marketplace works again, use Retry failed. See Resend stock for some offers. |
The Overview's Waiting to send tile, Offer health and the accounts' Waiting figures count Sent, awaiting confirmation together with Waiting to send: in both, the marketplace has not applied the number yet. The Offers list keeps them apart: its Status filter has one option for each, and its Waiting quick view holds both.
A temporary error keeps the offer in Waiting to send and it is tried again later. While an offer is Waiting to send after an error, Last problem says which attempt it is and when the next one is, for example "… · attempt 3, next try in 2 minutes".
The Stock column
The Stock column of the Offers list shows three numbers: PIM available › Stock to publish › what the marketplace shows. Hover over it for the full breakdown (PIM available and on hand, the rules, the stock to publish, the last number sent and when, what the marketplace showed at its last offer import). The Offers Legend shows these examples:
| Shown | Colour | What it means |
|---|---|---|
| 21 › 21 › 21 ✓ | Green | All agree. |
| 21 › 21 › 18 ⏱ | Amber | The marketplace still has the old number (18); the new one (21) is waiting to be sent or awaiting confirmation. |
| 21 › 21 › 18 ⚠ | Amber | Sent, but the marketplace showed another number at its last offer import; Stock Sync sends it again. |
| 5 › 0 › 0 ✓ | Grey | Not eligible (lead time over the limit) or orphaned: Stock Sync publishes 0 on purpose. |
A Not linked offer has no numbers: Stock Sync never sends stock for it. The Offer page draws the same path as five steps, with the step that is off coloured.
What the marketplace says about the offer
Shown on the Offer page and side panel as Marketplace state, as the second line under the row's status in the Offers list (only when it is not on sale), and in the On the marketplace filter chip.
| Short label (filter, pill) | On the Offer page | Second line in the list | What it means | What to do |
|---|---|---|---|---|
| On sale | On sale on the marketplace | (none) | The offer is active on the marketplace. | Nothing. |
| Switched off | Switched off on the marketplace | Switched off on the marketplace | Someone switched the offer off on the marketplace. Stock Sync keeps sending its stock, so it is right the moment it is switched on again. | Switch it on at the marketplace if it should sell. |
| Ended | Ended on the marketplace — no further stock is sent | Ended on the marketplace — no stock sent | The offer has reached its end of life on the marketplace. Stock Sync sends it nothing more, and it cannot be resynced. | Nothing in Stock Sync. |
This comes from the daily offer import, so it can be up to a day old.
The marketplace's validation reason
The marketplace can also say why it is not selling an offer. The reason is the second line under the row's status (with "— no stock sent" when it stops stock), the Marketplace validation row on the Offer page, and the Marketplace says filter chip. Reasons that stop stock are red: Stock Sync sends nothing until the offer is fixed, and the first daily offer import after the fix sends it again.
| Reason | Stops stock? | What it means | What to do |
|---|---|---|---|
| Not yet finished | Yes | The documentation is not complete enough to be sent for validation. | Finish the product on the marketplace. |
| Waiting for validation | No | The marketplace is still deciding on the product, its brand or its documentation. | Nothing: wait for the marketplace. |
| Barcode conflict | No | Another seller claims the same barcode. It does not stop the sale while it is being settled. | Check the barcode on the marketplace. |
| Rejected brand | Yes | Refused over the brand on the documentation. | Fix the brand on the marketplace. |
| Rejected EAN | Yes | Refused over the barcode; the offer lost a barcode conflict. | Fix the barcode on the marketplace. |
| Rejected documentation | Yes | Refused over the documentation itself. | Fix the documentation on the marketplace. |
| Update awaiting approval | No | An update the seller sent is still being looked at. The offer carries on selling as it was. | Nothing. |
| Update rejected | No | An update the seller sent was refused. The offer carries on selling as it was. | Fix the update on the marketplace if it matters. |
| Blocked | Yes | Taken off sale by the marketplace, by an administrator or an automatic check. | Ask the marketplace why it was blocked. |
| Price not accepted | Yes | The price failed the marketplace's own check, so the offer cannot be sold at it. | Fix the price on the marketplace. |
| Translation waits for stock | No | The marketplace translates the product only once the offer has stock and is active. | Nothing. |
| Being translated | No | The marketplace is translating the product; it is not on sale until that is done. | Nothing: wait for the marketplace. |
| Translation refused | Yes | The translation was refused: the documentation needs correcting before it can sell. | Correct the documentation on the marketplace. |
| Rejected in review | No | Refused in the marketplace's review. The marketplace puts it back on sale itself once approved. | Correct the product on the marketplace. |
| Needs correction | No | Taken off sale after a change made the product invalid. It returns by itself once corrected. | Correct the product on the marketplace. |
Eligible
The Eligible column of the Offers list (on wide windows), the Eligible filter chip, the Eligible row of the Offer page, and the Rules step of its stock path. It depends on the account's Lead-time limit. See How the quantity is calculated.
| Shown | What it means |
|---|---|
| Yes (Eligible) | The offer's lead time is within the account's limit, or there is no limit, or the lead time is unknown. Its stock is published. |
| 5 d > 2 d in the list, No — 5 days > 2 days on the Offer page (Not eligible) | The product's lead time (5 days) is longer than the account's limit (2 days), so Stock Sync publishes 0. The second line under the status reads "Not eligible — publishes 0". |
| No | Not eligible, without the numbers to show why. |
| — | The offer is not Linked, so eligibility does not apply. |
Credentials
The Credentials row of the account's Connection card on the Summary tab, and of Settings → Connection.
| Shown | What it means | What to do |
|---|---|---|
| Not set | No password is stored for this account. It cannot reach the marketplace. | Enter it: Enter or change credentials. |
| Set, updated 12/09/2026, 08:42 | A password is stored (it is never shown), last changed at that time. | Nothing. |
| Set | A password is stored; when it was set is not known. | Nothing. |
PIM data
How long ago PIM was last read successfully. Shown on the Overview's PIM data tile, for example 4 min ago (< 1 min ago right after a reading), with "Read 30/09/2026, 10:52 · every 15 min" under it. PIM is normally read every 15 minutes. The tile opens Activity → Sync runs.
| Tile colour | When | Needs your attention row | What to do |
|---|---|---|---|
| Green | The last successful reading was 20 minutes ago or less | (none) | Nothing. |
| Amber | More than 20 minutes ago: one reading was missed | PIM reading is late | Wait for the next one, or ask for one with Read PIM now: Read the catalog again now. |
| Red | More than 35 minutes ago, or never (Never, "PIM not read successfully yet") | PIM data is out of date | Check the PIM reading runs in Activity → Sync runs and tell the technical team. |
Sync runs
Everything Stock Sync does in the background is recorded as a run, listed in Activity → Sync runs, on an account's Activity tab and in its Summary's Recent runs. Finished runs also appear as lines in the Live feed.
Result
| Label | Colour | What it means | What to do |
|---|---|---|---|
| Running | Amber | The run is still going. | Wait. |
| Succeeded | Green | The run finished normally. Its counts say what it did. | Nothing. |
| Failed | Red | The run stopped with an error, shown in red under the result. | Read the error. A single failure is often retried by the next run; if the same type keeps failing, tell the technical team. |
| Stopped | Grey | The system was restarted (for example during an update) while this run was going. Not an error. | Nothing: the next scheduled run picks up where it left off. |
A failed run appears in Needs your attention ("[type] failed for [account]", for example "Sending round failed for Fashion Days BG", or "Full PIM check failed" for a PIM run) only while it is the latest run of its kind for that account, and only among the 20 most recent runs; at most three are named. Any later run of the same kind clears it, even one still running. The Sync runs tab counts runs that failed in the last 24 hours, and lists them all.
Routine readings. PIM is read every 15 minutes and most readings find nothing new. With Hide routine readings on (the default), consecutive readings that changed nothing fold into one line, for example "38 PIM readings, nothing new"; click it to unfold them.
Type
| Label | What it is | When |
|---|---|---|
| PIM reading | Reads the PIM products that changed since the last reading. The Account column shows PIM; hover over Started for the period read. | Every 15 minutes, and on Read PIM now |
| Full PIM check | Reads every PIM product and finds removed ones. | Every night at 02:17 |
| Offer import | Reads every offer of one marketplace account. | Every day at 04:41, when an account is created, resumed or recovered, when its API address changes, and on Import offers |
| Sending round | Sends waiting stock updates to one marketplace account. | Seconds after a change, and every minute for retries |
| Recalculation | Works out the stock to publish again for every offer of one account. | After a settings change, after the nightly check, when an account is resumed or recovered, and on Recalculate |
Counts
The Counts column lists only the counts above zero. Each kind of run has its own:
| Count | Which runs have it | Means |
|---|---|---|
| seen | PIM reading, Full PIM check, Offer import, Recalculation | Products or offers looked at |
| changed | PIM reading, Full PIM check, Recalculation | Those that really changed |
| removed | Full PIM check | Products found missing from PIM |
| not linked | Offer import | Offers with no PIM product |
| published | Sending round | Numbers the marketplace accepted |
| rejected | Sending round | Numbers the marketplace refused |
| failed | Sending round | Offers that gave up after every retry in this round and are now Failed (not offers that will be retried) |
| sent, awaiting confirmation | Sending round (ABOUT YOU) | Offers whose numbers were sent and not answered yet |
| batch confirmed | Sending round (ABOUT YOU) | Batches (one request, up to 1,000 offers) ABOUT YOU has answered in this round. Their offers are counted as published or rejected |
| batch not confirmed in time | Sending round (ABOUT YOU) | Batches ABOUT YOU did not answer within 30 minutes; their offers are Waiting to send again |
For example "318 seen · 27 changed" for a PIM reading, or "19 published · 1 rejected" for a sending round. A sending round in which the marketplace was only busy or slow still says Succeeded; it says Failed only when the account became unavailable ("Account unavailable: …").
Outbox messages
Every change Stock Sync makes is first written down as a message in the outbox, and then handed to the internal message queue. See Activity → Outbox.
| State | Where you see it | What it means | What to do |
|---|---|---|---|
| Waiting to go out | Not counted on screen; it shows in the Activity Legend | Messages written but not yet handed on. Normally close to 0; it grows while the message queue is down. | Nothing; they go out by themselves when the queue is back. |
| Sent | Not shown | Handed on successfully. Deleted after 7 days. | Nothing. |
| Set aside | The Outbox tab of Activity (with its red count), the red number beside Activity in the sidebar, and a red Needs your attention row on the Overview ("[n] outbox messages set aside", with Review) | The queue refused the message five times (counted only while it was accepting other messages), or the message could not be sent at all (too large, over 1 MB, or impossible to package): those are set aside at once. It never moves on its own. | The technical team finds the cause; then an operator Releases it. See Deal with set-aside messages. |
| Released | Disappears from the Outbox tab | An operator put it back among the waiting messages; it is tried again within a second. | If it comes back, the cause was not fixed. |
The Refusals column on the Outbox tab counts every refusal, the one that set it aside included: a message set aside after five refusals shows 5; one set aside at once without being refused shows 0.
Order states
Shown in the State column of the Orders list, at the top of an order's side panel and of the Order page (with a What this means or Why it needs attention box under it), and in the State filter of the All view.
The Orders list opens on quick views that each stand for a state: Needs attention (amber count), Waiting for Odoo (Received), Previewed, Imported, Partly shipped (violet count), Shipped and All. One more, Not moving (amber count), stands for no state: it lists the open orders with no change for 24 weekday hours, whatever their state (see Orders: Not moving).
| State | Colour | What it means | What to do |
|---|---|---|---|
| Received | Grey | Stock Sync has the order and has not put it into Odoo yet. It is waiting for its turn, or for Odoo to answer (Attempts and Next attempt say how it goes). | Nothing. It arrives by itself. |
| Previewed | Blue | The account's orders are in Preview: the Odoo order was worked out and compared with Gaia's, and nothing was written to Odoo. | Read the comparison. |
| Imported | Indigo | The order is in Odoo, confirmed, and its stock is reserved. | Nothing. |
| Partly shipped · 1 of 5 | Violet | An Imported order the marketplace has shipped in part: the first number is the lines that went out (shipped, or shipped and since returned), the second all of the order's lines, cancelled ones included. The rest wait in Odoo (a backorder) or for their shipment. It is still Imported underneath, and the Partly shipped quick view lists it, with the orders shipped in part that wait in Needs attention. | Nothing while the warehouse ships the rest. Items that cannot ship: cancel their backorder in Odoo; about 30 minutes later Stock Sync cancels them at the marketplace, and the order is Shipped once every line not cancelled is. Cancel order cannot cancel part of an order that Odoo ships in more than one step. See Part of an order cannot ship. |
| Shipped | Green | The marketplace knows the order left the warehouse: every line not cancelled is shipped, told by Stock Sync or marked by hand in the seller centre. See Ship an order. | Nothing. |
| Needs attention | Amber | Stock Sync did not guess; the reason says why. | See the reasons below and An order needs attention. |
| Cancelled before import | Grey | The marketplace cancelled the order before it reached Odoo. It never will. | Nothing. |
| Cancelled | Grey | Every line of the order was cancelled: by an operator from Stock Sync, at ABOUT YOU and, if it was there, in Odoo; or by Stock Sync following Odoo, which gave every item up (the reason Cancelled in Odoo); or after a Cancel at the marketplace by hand warning, once the marketplace shows every line cancelled. See Cancel an order. | Nothing. |
| Resolved | Grey | An operator handled the order by hand and marked it resolved. | Nothing. |
A short badge of the Preview comparison, on a Previewed order:
| Result | Colour | What it means |
|---|---|---|
| Match | Green | Gaia's order and Stock Sync's are the same |
| Different | Amber | They differ; every difference is listed |
| Not in Odoo | Grey | Odoo has no order with this reference yet. Compared again by itself for up to 7 days, so it changes within a few hours of Gaia's upload; still there a day after the upload, Gaia's reference differs (check before going Live). |
Once the order has left Previewed, the badge is no longer beside its state: the order page keeps Preview's result lower down, under In Preview, as history.
Order attention reasons
Shown under the state in the Orders list (hover for what to do), at the top of the side panel and the Order page, in the Reason filter chip, and in the Orders Legend with each one's fix. Retry is offered only where it can help; the others end with Mark resolved.
| Reason | What it means | What to do |
|---|---|---|
| Unknown product | No Odoo product matches the marketplace's product | Create or fix the product, then Retry |
| Ambiguous product | Two Odoo products match | Fix the duplicate SKU, then Retry |
| Tax mismatch | Odoo's tax for the country differs from the marketplace's VAT rate | Check the fiscal position or tax in Odoo, then Retry |
| No fiscal position | Odoo has no OSS position for the delivery country | Create it in Odoo, then Retry |
| No exchange rate | Odoo has no rate for that currency and date | Add the rate in Odoo, then Retry |
| Not supported | The marketplace ships the order itself (fulfilled by the marketplace) | Decide how to book it, then Mark resolved (no Retry) |
| Unreadable | The marketplace sent an order that cannot be read; the order names what is missing | Tell the technical team; no Retry, it comes back by itself when a readable version arrives |
| Rejected by Odoo | Odoo refused the order and says why. This includes an unconfirmed quotation for the reference that someone else created in Odoo, which Stock Sync never touches: "Odoo already has order … for this reference as an unconfirmed quotation created by someone else: confirm or cancel it in Odoo, then Retry". When the message says Odoo created an order (SO…) and refused a later step, that order is in Odoo already. | Fix what Odoo says (or confirm or cancel that quotation), then Retry, which takes over an order Odoo created; never enter it by hand |
| Cancelled in Odoo | An order with this reference exists in Odoo and is cancelled | Decide, then Mark resolved |
| Changed after import | Something was cancelled or returned after the order was created in Odoo | Handle it in Odoo, then Mark resolved |
| Stuck | Odoo or the marketplace has been unreachable for 24 hours | Technical team; then Retry |
| Cancel at the marketplace by hand | Odoo gave up items of an Imported order, and the marketplace cannot be told by Stock Sync (eMAG and Fashion Days have no way to cancel yet, or it can cancel only part of an order and only part was given up). The sentence names the items (their Item numbers in the order's Lines) and the marketplace; an item Odoo gave up only in part reads 9001 (1 of 2 units). | Cancel them in the marketplace's seller centre, then Mark resolved; there is no Retry. The warning clears itself once the marketplace shows every named item cancelled, and a later revision that needs attention, such as a return, replaces it (the activity still names the items). See When Odoo cancels. |
| Cancel failed | A cancellation asked from Stock Sync could not be finished: ABOUT YOU refused an item of an order already in Odoo (for example one already shipped), the warehouse started on the line in Odoo after Stock Sync's check (picked or delivered), Odoo refused the change, or one of them was unreachable for 24 hours. The order page says where and why. For a cancellation Odoo started, ABOUT YOU refusing an item ends here too, and the sentence says Odoo already cancelled the items. (When the check itself, made before anything is sent, finds the delivery started, nothing is cancelled and the order does not get this reason.) | Fix the cause, then Retry, which tries the cancellation again from where it stopped, even for an order in Odoo; or finish it by hand and Mark resolved. See Cancel an order. |
| Shipping data missing in Odoo | The order's delivery is validated in Odoo, but something the marketplace needs is missing or wrong there 2 hours later (or at once after Mark shipped in Live): the tracking number, the Return Tracking number: note, the carrier or the invoice; or the delivery holds a product no item of the order resolves to | Add it in Odoo; it goes on by itself within 5 minutes, or Retry. For a product no item resolves to: ship the items by hand in the seller centre, then Mark resolved |
| Marketplace refused the shipment | The marketplace refused to mark it shipped, or did not answer after 5 tries; its words are on the order | Fix it in Odoo, then Retry; or mark it shipped in the seller centre by hand: the order then becomes Shipped by itself within minutes |
Order line status
The Status column of an order's Lines, as the marketplace reports it:
| Status | What it means |
|---|---|
| Open | Not shipped yet. Only an open line can be cancelled. |
| Shipped | On its way to the customer |
| Cancelled | Cancelled from Stock Sync, by the customer or by the marketplace |
| Returned | Sent back by the customer |
Shipping
The pill of each delivery under an order's Shipping (see Order page: Shipping).
| Pill | Colour | What it means |
|---|---|---|
| Waiting for Odoo | Amber | The delivery is validated, but something the marketplace needs is not in Odoo yet, or the delivery holds a product no item of the order resolves to (ship it by hand), or the order waits for something else first and the delivery is not checked yet |
| Would send | Blue | Ship orders is in Preview: what Live would send; nothing was sent |
| Sending | Blue | Stock Sync is telling the marketplace |
| Sent | Blue | The marketplace has it and is deciding |
| Shipped | Green | The marketplace marked the items shipped |
| Refused | Red | The marketplace refused, or did not answer after 5 tries |
| Already shipped | Grey | The items were marked shipped by hand first, or the delivery found no item of the order left; nothing was sent |
Order cancellation
Shown under an order's fields while it is being cancelled, and afterwards. See Cancel an order.
| Shown | What it means |
|---|---|
| Cancelling… checking Odoo, then telling ABOUT YOU | Just asked, for an order in Odoo: Stock Sync checks in Odoo that the warehouse has not started on the items, then sends them to ABOUT YOU. With : [what went wrong] and a next attempt when Odoo or ABOUT YOU cannot be reached. |
| Cancelling… telling ABOUT YOU | Just asked, for an order not in Odoo yet: Stock Sync sends the items to ABOUT YOU. With : [what went wrong] and a next attempt when ABOUT YOU cannot be reached. |
| Cancelling… waiting for ABOUT YOU | The items are sent; ABOUT YOU has not decided yet. With : [what went wrong] and a next attempt when ABOUT YOU cannot be reached. |
| Cancelling… waiting for Odoo | ABOUT YOU cancelled the items; the Odoo order is next. With : [what went wrong] and a next attempt when Odoo cannot be reached. |
| Cancelling… finishing | Odoo is done; Stock Sync marks the lines cancelled. |
| Cancel failed at ABOUT YOU / Cancel failed in Odoo / Cancel failed | The cancellation stopped there (a cancellation Odoo started never has an Odoo step, so it reads Cancel failed at ABOUT YOU, or only Cancel failed); the order Needs attention with Cancel failed. Two exceptions show the failure on this line only: Cancel failed in Odoo from Stock Sync's check before anything was sent (the warehouse had already picked or delivered, or, for a cancel of some lines, delivers in several steps), where nothing was cancelled and the items stay open; and an order not in Odoo yet whose items ABOUT YOU refused, which goes on to Odoo with the refused items. |
| Cancelled N items on [date] · [reason] | Done, with the reason and the note written in the dialog. When Odoo gave the items up, the reason is Cancelled in Odoo and there is no note (see When Odoo cancels). |
Overview headline tiles
The five tiles at the top of the Overview. Each is a shortcut: click it to open the list behind the number, already filtered. Paused accounts are left out of the first three, because a paused account sends nothing. Suspended accounts are included.
| Tile | What it counts | Green | Amber | Red | Grey |
|---|---|---|---|---|---|
| Offers in sync | Linked offers whose number the marketplace shows, as a share | 99 % or more | 90–98 % | below 90 % | — (no linked offers yet) |
| Waiting to send | Stock updates the marketplace has not applied yet: waiting to send, or sent and awaiting confirmation | — | Some are held: their account cannot send (Preview or suspended), "[n] held: the account can't send" | — | Nothing held: waiting a few seconds is normal |
| Needs a fix | Failed, rejected and orphaned offers, each counted once, split under the number | 0 ("Nothing failed, rejected or orphaned") | — | Any | — |
| Orders to check | Orders that need attention; under it, how many more are on their way to Odoo and the age of the oldest | 0 and nothing waiting ("No order needs a person") | An order needs attention, or the oldest waiting order has waited an hour | — | Orders waiting less than an hour |
| PIM data | How long ago PIM was last read | 20 min or less | over 20 min | over 35 min, or Never | — |
Offers in sync opens the in-sync offers, Waiting to send the Waiting view of Offers and Needs a fix the Needs a fix view, both with the Account filter set to the accounts that are not paused, Orders to check the Needs attention view of Orders, and PIM data the sync runs.
Why the Needs a fix tile can be smaller than the red number beside Offers in the sidebar: the tile leaves paused accounts out, here and in the list it opens, while the sidebar counts every account. In the pictures of this guide the tile reads 106 (63 failed · 23 rejected · 20 orphaned) and the sidebar 118: the 12 offers of the paused Fashion Days RO Wh 2 make the difference.
The percentage in sync counts Linked and Orphaned offers only, and is rounded down. Not linked offers are left out, because nothing is ever sent for them.
In the top right corner of the Overview, Updated now (or Updated … ago) has a green dot. The dot turns amber, and the text too, when the last refresh failed; the page then says "Could not refresh. Showing the last loaded data."
Needs your attention
The list on the Overview has one row per kind of problem, most urgent first, each with its fix on the row:
| Colour | Means | Examples |
|---|---|---|
| Red | Needs a person now | An account is suspended; PIM data is out of date; outbox messages set aside; offers failed |
| Amber | Worth a look | Orders need attention or wait for Odoo for an hour; an account is degraded; offers rejected; background runs failed; the PIM reading is late |
| Blue | For information | Accounts in Preview, with what going Live would send |
The red number beside Needs your attention, and beside Overview in the sidebar, counts the rows that are not blue. When nothing needs a hand, it says All clear. See Overview.
Live updates
The Live pill at the top right of every page. See The Live pill.
| Pill | Colour | What it means | What to do |
|---|---|---|---|
| Live | Green | Changes are pushed to the page as they happen. Every screen also refreshes once a minute as a safety net. | Nothing. |
| Connecting… | Amber | Stock Sync is connecting; the page shows what was loaded. | Nothing: live updates start by themselves. |
| Paused | Amber | You paused live updates: the screen is frozen, nothing is lost. | Turn the switch back on (or Resume) to catch up. |
| Not live | Grey | Live updates are not connected. The page refreshes every 15 seconds instead. | Nothing. If it stays, tell the technical team. |
While the connection is lost after it worked, an amber line under the top bar says "Connection lost at … You are looking at what was loaded; live updates resume by themselves and catch up on what was missed.", ending with "The message queue is down." when that is the cause.
In lists, a row that changed flashes briefly where it is; rows that newly match wait behind Show n new. In the Live feed and Happening now, new lines slide in on top.
Activity lines
The Live feed on Activity, Happening now on the Overview, and an account's Activity tab and Recent activity list what people did (with their e-mail address) and what the system did. Each line has a small coloured dot; Problems only keeps the amber and red ones. In the Live feed, a person's initials or the Stock Sync mark at the end of the line says who did it.
| Dot | How the line reads | What it means |
|---|---|---|
| Green | "radu.ionescu@… paused the account" | The action worked. |
| Grey | The same wording | The action changed nothing, because it was already so (for example pausing a paused account). |
| Amber | "… changed the settings — only partly: …" | Part of the action was saved; the text says which part was not. |
| Amber | "… tried to recover the account — refused: …" | Refused for a business reason (refused), because the request was not valid (invalid) or because the thing no longer exists (not found). |
| Red | "… tried to resume the account — unavailable: Nothing was changed: …" | The message queue was down (unavailable), or the action failed (failed). |
| Green / amber / red / grey | A finished run, for example an offer import | A sync run, coloured by its result as in Sync runs. |
Actions from the old command-line tool show the computer user's name followed by "(command line)".
Offer history
The History list of the Offer page and of an offer's side panel. Each line from Stock sync is one of these events, with a Details section to unfold:
| Line | What happened |
|---|---|
| Linked to PIM product | The offer was matched to its PIM product. |
| Orphaned (product removed from PIM) | Its PIM product was removed; the stock to publish became 0. |
| Stock to publish changed | Stock Sync worked out a new number to send: the PIM stock or the account's settings changed, or the product left the PIM. |
| Queued to be sent again | An operator pressed Resync, Resync stock or Retry failed. The number is sent again even if it has not changed. |
| Marketplace showed a different number, queued to be sent again | The offer import found another number on the marketplace than the one sent (drift). Stock Sync sends its own number again. |
| Offer can receive stock again, queued to be sent | The marketplace had ended or refused the offer and no longer does. What it missed meanwhile is sent. |
| Sent, awaiting confirmation | ABOUT YOU took the number and has not said yet whether it applied it. |
| Published | The marketplace accepted the new number. |
| Rejected by the marketplace | The marketplace refused the number; the details carry its message. |
| Failed after retries | The 8th temporary error in a row; the offer is now Failed. |
The Details of the four lines that queue stock say why in cause: catalog, resync, drift or release, in the order of the table. Older lines have no cause and read Stock to publish changed, resyncs included. The Offer page explains every field.
Lines from Marketplace show each call made for this offer, for example "called offer/save · HTTP 200 · 312 ms" (or "no answer" when the marketplace did not answer), with the exact Request and response.
