The orders dashboard
The Channel Hub orders dashboard shows how orders are going: how many came in, what they are worth, the margin, how fast they leave the warehouse, what gets cancelled and why, and which orders are stuck. It lives in Grafana, the company's monitoring tool, not in Stock Sync. You read it; you cannot change anything from it.
Before you begin
Who can do this: anyone with access to Grafana. If Grafana says you have no access, ask the technical team.
Time needed: a few minutes.
Before you start: be on the company VPN.
Opening the dashboard
Open https://grafana.commercehub.io and sign in with your company Microsoft account.
Open Dashboards, then the folder CommerceHub, then Channel Hub orders.
Pick the period at the top right (the last 7 days by default). The period applies to the date the order was placed, except where a panel says otherwise.
Pick the accounts in Account at the top left: All by default, or one or more accounts. Every panel follows the choice.
The dashboard refreshes itself every 5 minutes. Hover over the (i) beside a panel's title to read what it counts.
What the numbers count
The note at the top of the dashboard, What these numbers count, says the same as this section.
- Revenue counts an order once it reached Odoo and is not cancelled. Cancelled lines of an order are left out. Returned items still count in revenue and units; the Returned units per week panel shows them separately. Orders only compared in Preview never count.
- Amounts are in euros, computed from the order's lines. An order in another currency (for example PLN) is converted with Odoo's exchange rate, the one Stock Sync used for the order; a euro order is taken as it is. They are not the totals Odoo booked.
- Margin is Odoo's own margin: the sale price minus Odoo's product cost. The marketplace's commission is not taken off. It appears up to about 30 minutes after the order reaches Odoo, so the newest orders have no margin yet. Margin % counts only the orders whose margin Odoo returned. If Odoo cannot give a margin (its Sales Margin module is not installed), the margin panels stay empty.
- "Shipped" means the marketplace confirmed the shipment. Stock Sync does not know yet when a parcel reaches the customer.
- Weekday hours leave Saturday and Sunday out: an order that reached Odoo on Friday at 15:00 and left the warehouse on Monday at 15:00 took 24 weekday hours. Public holidays count as weekdays.
The panels
Today and the period
One number per tile, for the period and the accounts you picked.
| Tile | What it shows |
|---|---|
| Orders | Orders that count as revenue |
| Units | Units sold in those orders, cancelled units left out |
| Revenue net (EUR) | Their value without VAT |
| Revenue gross (EUR) | Their value with VAT |
| Average order value (EUR) | Revenue net divided by the number of orders |
| Margin (EUR) | Odoo's margin on those orders |
| Margin % | The margin as a share of Odoo's net amount, over the orders whose margin Odoo returned |
| Cancelled % | The share of the orders that reached Odoo and were cancelled afterwards |
| Out within 1 weekday | The share of orders that left the warehouse within 24 weekday hours of reaching Odoo |
| Needs attention now | Orders in Needs attention right now, whatever the period |
| Not moving now | Orders with no change for 24 weekday hours right now, whatever the period |
Trends
Orders per day by account, Revenue net per day by account (EUR) and Margin per day (EUR): one point per day, by the date the order was placed, only orders that count as revenue.
Fulfilment
| Panel | What it shows |
|---|---|
| Weekday hours, imported to shipped by the warehouse | How long orders took from reaching Odoo to leaving the warehouse, per day: the median (half the orders were faster) and the p90 (nine orders in ten were faster). The line at 24 hours is one weekday. |
| Weekday hours, warehouse to confirmed by the marketplace | How long the marketplace took to confirm a shipment after the warehouse sent it, median and p90, by the day the warehouse shipped |
| Orders shipped per day | Orders the marketplace confirmed as shipped, by the date of that confirmation |
| Open orders to ship | Orders in Odoo that the warehouse has not shipped yet, right now (accounts whose Ship orders is Live) |
Cancellations and returns
| Panel | What it shows |
|---|---|
| Cancellations by reason | Finished cancellations made from Stock Sync or followed from Odoo, by their reason, counted by the date they were asked for. A cancellation that came from the marketplace has no reason here: see the next panel. |
| Cancelled orders by origin | Cancelled orders by who cancelled them: Operator (from Stock Sync), Odoo or Marketplace |
| Returned units per week | Units the customers sent back, per week and account |
Mix
Top countries (net EUR), Top brands (net EUR) and Top products (net EUR): the ten that sold most in net euros, over the orders that count as revenue. Top products also shows the units.
Orders not moving
A table of every order with no change for 24 weekday hours, the oldest first, whatever the period: Reference, Account, Stage (Waiting in Needs attention, A cancellation is not finished, Shipped in Odoo, not yet confirmed by the marketplace or Imported, not shipped) and No change since. Clicking a Reference opens the order in Stock Sync, in a new tab. The same orders are on the Not moving view of Orders.
If something looks wrong
| You see | Why | Do this |
|---|---|---|
| No data in every panel | No order in the period, or none for the accounts picked | Widen the period, or set Account to All |
| Margin empty, the rest filled | Odoo has not given the margin yet (orders of the last half hour), or it cannot give one | Wait half an hour. If it stays empty for older orders, tell the technical team. |
| The number of orders differs from Odoo's | The dashboard counts orders Stock Sync brought into Odoo, by the date the customer placed them | Compare the same accounts and the same dates; orders entered in Odoo by hand are not here |
