Matching offers to products
Stock Sync can only publish the right stock if it knows which PIM product each marketplace offer is. Connecting the two is called matching or linking. There are two rules, one for each way a marketplace names its offers: eMAG and Fashion Days use the PIM product id, ABOUT YOU uses the SKU. The ABOUT YOU rule is further down this page.
The rule for eMAG and Fashion Days: the offer id is the PIM product id
When we list a product on eMAG or Fashion Days, we give the offer the PIM product id as its offer id. So offer 101577 on eMAG RO is PIM product 101577. Stock Sync links them because the two numbers are the same, and for no other reason.
Barcodes are never used for linking, and SKUs only for ABOUT YOU
Barcodes (EAN) are shown on the screen so you can search for an offer. They are never used to link one, on any marketplace. Two offers with the same barcode but different offer ids are two different links. An offer on eMAG or Fashion Days whose offer id is not a PIM product id stays Not linked, even if its barcode or SKU matches a PIM product perfectly. Only ABOUT YOU offers are linked by SKU, by the rule below.
A few consequences of the rule:
- One PIM product is one SKU in one size. Size M and size L of the same jacket are two products, with two ids and two offers.
- The same product can be offered on several accounts (eMAG RO, eMAG BG, Fashion Days RO…). Each account's offer is linked and synced on its own.
- Stock Sync never creates, renames or deletes an offer. It only finds the offers that already exist.
ABOUT YOU offers are linked by SKU
ABOUT YOU knows each product variant by the company's own article code, its SKU, not by PIM's product number. PIM keeps that article code in the product's SKU, with the size kept separately. So an ABOUT YOU offer is linked to PIM like this:
- If exactly one PIM product has that SKU, the offer is linked to it.
- Otherwise, where the SKU ends in
_and a size (for exampleMJ 1099_S TAY_9O_56), the part before the last_is the PIM SKU and the part after it is the PIM size. If exactly one PIM product has both, the offer is linked to it. - Otherwise the offer stays Not linked: Channel Hub never changes its stock.
Capitals and extra spaces do not matter when SKUs and sizes are compared. The first rule wins over the second: a PIM SKU that itself contains _ (such as 2S4HSC015H03_402, size ONESIZE) is linked as itself.
Checked on 2026-10-03 against the company's ABOUT YOU stock export and the production PIM: 1,502 SKUs link by the first rule and 168 by the second (shoes and sunglasses, whose size is added after _). One SKU, 81214931, belongs to two PIM products (size L and ONESIZE) and stays Not linked, because guessing could send the wrong size's stock. To link it, give one of the two products its own SKU, in PIM or on ABOUT YOU.
What is different from eMAG:
- The Offer id on an ABOUT YOU offer is its SKU. Where a PIM product id would be shown (the PIM product column and row), an offer without one shows the SKU instead.
- A SKU shared by two PIM products is never guessed. If PIM later gets a second product with the SKU of a linked offer, the offer is no longer sure which product it is. It becomes Orphaned and is sent stock 0, the same safe rule as for a product that disappears from PIM. Once the SKUs are unique again, the offer links again at the next PIM reading or offer import.
- Barcodes and ABOUT YOU's style and colour keys are never used for linking.
Everything else on this page, the three link statuses, the offer import and the marketplace's own state, is the same for ABOUT YOU. For ABOUT YOU the marketplace's state comes from its product status (see Sending stock to the marketplace); every status receives stock.
Where the offers come from: the offer import
Stock Sync learns which offers exist from the marketplace itself, in an Offer import. The import reads every offer of the account, 100 at a time, with its offer id, its stock and its status on the marketplace. It runs:
- when an account is created;
- every day at 04:41 for every account that is not paused or suspended;
- when an operator presses Import offers (in the account's More menu, the row's ⋯ menu on the Accounts page, or for several accounts at once from the Accounts page);
- when a paused account is resumed, or a suspended one recovered;
- when an account's API address changes.
The three link statuses
| Link status | Meaning | Stock Sync's stock to publish | Is anything sent? |
|---|---|---|---|
| Linked | The offer id is a PIM product id that exists | Calculated from the PIM (rules) | Yes, when it changes |
| Not linked | No PIM product has this id, or the offer id is not a number | None (shown as —) | Never. The marketplace's stock is left exactly as it is |
| Orphaned | The offer was linked, but its product was removed from the PIM | 0 | Yes: 0, so the product stops selling |
The difference between Not linked and Orphaned matters. A not-linked offer was never ours to manage, so Stock Sync keeps its hands off. An orphaned offer was managed, and its product has gone, so the safe thing is to stop selling it.
How an offer gets matched
Matching happens at every offer import, and also every time a PIM reading brings a product. So when someone creates the missing product in the PIM, its offer becomes Linked at the next 15-minute reading. You do not have to wait for the next import.
What the marketplace says about an offer
Separately from the link status, the offer import records what the marketplace itself says about each offer. The Offers list shows it as a second line under the offer's status only when it is worth saying, and the On the marketplace filter chip picks offers by it, and the offer page always says it in full:
| Marketplace state | Second line in the Offers list | On the offer page | Does Stock Sync keep sending stock? |
|---|---|---|---|
| On sale | (no note) | On sale on the marketplace | Yes |
| Switched off | Switched off on the marketplace | Switched off on the marketplace | Yes. It can be switched on again with one click, and then its stock is already right |
| Ended | Ended on the marketplace — no stock sent | Ended on the marketplace — no further stock is sent | No. It is at the end of its life and nobody can buy it. Stock Sync keeps the stock to publish up to date but sends nothing. Resync is refused for it |
If the marketplace ever puts an ended offer back on sale, the next import notices and Stock Sync sends the current stock in one go.
Examples
Example 1: the ordinary case
| On eMAG RO | In the PIM | Result |
|---|---|---|
| Offer id 101577, marketplace shows 4 | Product 101577, SKU K50K510943-BAX, size M, available 7 | Linked. Stock to publish 7. Because 7 ≠ 4, it goes to Waiting to send and 7 is sent |
Example 2: an offer without a PIM product
The Fashion Days RO import finds offer 55012, which shows 12 pieces. The PIM has no product 55012 (the offer was created by hand years ago, with a made-up id).
- The offer is Not linked. It appears in the account's Not linked count on its Summary tab, and in the Not linked quick view of Offers.
- Stock Sync never sends anything for it. The marketplace goes on showing 12, whatever happens in the warehouse.
- To bring it under Stock Sync, the offer has to be listed again with the right PIM product id. Stock Sync cannot tell you which product that is: a not-linked offer has no barcode or SKU in Stock Sync, because those come from the linked PIM product. Look up its barcode on the marketplace and search the PIM for it.
Example 3: the product arrives later
On Monday, the eMAG BG import finds offer 120350. There is no PIM product 120350 yet, so it is Not linked. On Tuesday at 11:40 the PIM team creates product 120350 with 6 pieces available.
- The 11:52 PIM reading brings product 120350.
- Stock Sync finds offer 120350 waiting for exactly this product. It becomes Linked (the offer's history says Linked to PIM product), stock to publish 6, and 6 is sent.
Example 4: a product is removed and comes back
Product 101577 is deleted from the PIM by mistake on Tuesday.
- The full check at 02:17 on Wednesday finds it missing. Offer 101577 becomes Orphaned on every account (history: Orphaned (product removed from PIM)), its stock to publish becomes 0 and 0 is sent.
- The PIM team restores the product at 09:00 with 5 available. The 09:07 reading brings it back. The offer becomes Linked again and 5 is sent.
Where to look
- The account's Summary counts Not linked and Orphaned offers.
- The Offers list has a Not linked quick view, shows Not linked and Orphaned in its Status filter, and can be searched by product name, offer id, PIM product id, barcode or SKU (barcode and SKU find linked offers only; an ABOUT YOU offer is also found by its whole SKU, which is its offer id).
- The offer page and its side panel show the offer's PIM product and its recent history (the last 50 steps and 20 marketplace calls).
- Find out why a stock number is wrong walks through a real investigation.
